You can check the current status of your fax in the Fax - Journal menu. The status Sending means that sending has started and no final response from the fax gateway has been received yet. Sent means that the gateway reported the transmission as successful. Error means that the transmission failed. A status such as Fax report missing means that no usable response was received; it is not a reliable confirmation of delivery and does not automatically prove that the fax was not delivered.
Common causes of a transmission error include:
- The fax number is incorrect or is missing a country or area code.
- The recipient's device is switched off, busy, unreachable or not accepting faxes.
- The connection or fax gateway was temporarily unavailable.
- The PDF is damaged, encrypted, password-protected or digitally signed.
- A signature, stamp, comment or other overlay was not permanently embedded in the page content.
- The document exceeds the permitted file size or contains unusual or unsupported PDF content.
You can often avoid errors by checking the fax number, including the country and area code, completing your sender details and opening the PDF before uploading it. Check that all pages and contents are shown correctly in the preview. Save inserted signatures and overlays as a final PDF or flatten the annotations so that they become part of the page content. Also remove encryption, password protection and digital signatures. For multi-page documents, compare the page count in the preview with the original document.
If a specific error message is displayed, first read the stated reason and check the recipient's fax number and the PDF file. If the PDF causes problems, create a new unencrypted PDF by choosing Print and Save as PDF. If the gateway or connection is temporarily unavailable, wait briefly and try sending the fax again later. Then check the entry in the Journal.
If the status remains unchanged for a long time, the fax report is missing or the error keeps recurring, contact support with the fax ID, sending time, recipient's fax number and the exact error message. Do not send confidential document contents unless they are explicitly required. A missing status message is neither a reliable delivery confirmation nor automatic proof of non-delivery. The final assessment depends on the gateway response and, where applicable, the recipient's device.
