Calendar: Invite Attendees and Send Events Directly
Calendar: Invite Attendees and Send Events Directly
With the eclipso Mail Europe calendar, you can create events, invite attendees by email and send a standard iCalendar file (.ics) with the invitation. This makes it easy to share meetings, events and private appointments. The invitation contains the relevant event details and can be added directly to the recipient's calendar.
How do I create an event with attendees?
- Open Calendar in the desktop version.
- Click Add date or open an existing event for editing.
- Enter at least the subject, start and end time. Add the Location, a description, a recurrence or a Reminder if required.
- Open the Attendees section in the event form.
The attendee function is useful for meetings, event invitations, shared private appointments and business coordination. All invited people receive the event details by email and can save the event in their own calendar application.
How do I add attendees from the address book?
- Open the contact selection in the Attendees section.
- Select the required people from the Address book.
- Confirm the selection. The contacts are added to the event's attendee list.
Selecting contacts from the Address book is convenient when you communicate with the same people regularly. Existing contact details do not need to be entered again.
Can I add attendees manually by email address?
Yes. If a person is not yet saved in the Address book, use Add attendees without an address book entry. Enter the complete email address manually and add it to the attendee list.
This also allows you to invite external attendees, customers, business partners or one-time guests without creating a new contact first.
Is an iCal file sent with the invitation?
Yes. Attach iCal file (.ics) is enabled by default when inviting attendees. The invitation is sent with a calendar attachment in the iCalendar format. Recipients can open the .ics file in common calendar applications such as Outlook, Apple Calendar, Google Calendar or Thunderbird.
- Check the attendee list and event details.
- Leave Attach iCal file (.ics) enabled if the calendar attachment should be included.
- Send the invitation using Email to attendees.
Where is the sent event invitation stored?
After sending, the invitation is automatically saved in the Sent folder. This allows you to review when the invitation was sent and which event details and attendees were used.
How do I import an iCal event directly from an email?
If you receive an email with a calendar attachment, you can add the event directly to your calendar:
- Open the email and click the iCal attachment with the .ics or .ical extension.
- Select Import into calendar in the dialog.
- Review and edit the displayed event details, such as subject, start, end, location, description and calendar group.
- Click Import into calendar to save the event.
For an iCal file containing multiple events, each event is shown for review. Events that already exist are skipped during import and shown in the result overview. Other attachments can still be downloaded using the download function.
What are the benefits of sending events by iCal?
- Attendees receive all important event details in a standardized calendar format.
- Events can be added directly to compatible calendar applications.
- Address book contacts and external email addresses can be used together.
- The invitation is documented in the Sent folder.
- The calendar attachment reduces errors when date, time and location would otherwise be entered manually.
